Meeting Minutes
September 10, 2018
Present: Samantha Hickman, Matt Jung, Meg Bourn and Victoria Lacasse.
Meeting started at 6:33 pm.

1. Old Business

   a. Beach Inventory and End of Year report-
   i. The report was completed by Emma and Luke at the end of the season and it was reviewed by the council.
   ii. The report included inventory of all items at the beach. There was also a general report of how the summer went for them and recommendations that they have for the future.
   1.  Emma recommended two shifts for lifeguards from 8-1   pm and then 1-5 pm. This was the schedule for years past.
   2.  They recommend more signage, specifically that there is not docking of boats on the floating or the anchored dock. The biggest problem is that people will dock on the floating dock. Matt suggested that we invest in better lines for the beach.
   iii. Lesson plans were included in the report from Emma. She also includes evaluations of the lessons from the instructor’s perspective. They discussed what went well, needed improvement, and recommendations for next year.
   1. Sign ups went well for the first session, but there were a lot fewer people for the second session.
   2. Complaints were that the first session was cancelled.
   3. There were more cancellations during the second session because of the weather.

   b. The plan is for the council to have a beach planning meeting in December or January. The plan will be to advertise for guards in January 2019. Samantha recommended that we advertise at the local schools. Both guards expressed interest in returning next year.

   c. Patron comments- they were concerned that the bathrooms were not open on the weekends, and that there was not trash cans available. There were complaints that the beach was a mess and that the trash was built up.  There was also a complaint that the swim instructors were not interactive with the kids during lessons.

2. VRPA Service Project Update
   a. Ribbon cutting at the beach on October 10th at 5 pm.
   b. The conference is October 10th and the 11th. Work for the service project is planned for October 9th, 2018.
   c. Plan for a clean up day on the beach prior to the ribbon cutting ceremony.
   i. Will plan to fix the slider, clean the bathrooms, raking the beach, general landscaping and gardening. The lines and docks were removed yesterday.
   d. The council reviewed the plan for the service project.
   e. Budget Update
   i. Reviewed the current budget information, which is overall on track for the year. Matt plans to get an updated budget from Georgette.
   ii. We will plan to edit the revenue line items.
   iii. Currently under budget for life guards and beach manager because of the change in beach coverage.
   iv. Currently under budget for building and grounds.
3. New Business
   a. 2019 Calendar Planning
   i. Plan to have upcoming meetings
   ii. Will send out a Facebook post requesting that people send any pictures for the 2019 calendar. Plan to have any pictures sent in by October 1st
   iii. Matt will contact Sandra to let her know that we will plan to keep the same exact format.
   b. Christmas and Tree Lighting Party
   i. It is scheduled for December 7th, 2018.
   ii. The FCA is interested in helping with music.
   iii. Plan for crafts and activities for the children in the town hall.

Next meeting will be scheduled for October 8th, 2018 at 6:30 pm at the Fairlee Library.
