Meeting called to order at 5:30 p.m.
Approve minutes from May 7, 2019 meeting
Sandra made the motion to approve, Angelia seconded. Voted in the affirmative.
3) Annual report – action item reports; further action as needed
Concept for insert emailed to group by Angelia. Wording was taken from April 2, meeting minutes. All three versions were liked but copy on deliverable was not desired messaging.
Mailer/insert – finalize wording and select layout
Discussed needing a volunteer to present the taxpayer insert to select board. The item for the select board meeting might need to be printed on the form and not “stuffed.” Fancy new machine – might not stuff 1/3 page. Decided that it can just be added on the full page that will be sent. Might be better to look at in August anyway because it will be closer to meeting. Finalized language tonight and get it over to Georgette and Lisa to provide any edits if needed before August since we are not meeting in July.
ACTION: Angelia edited copy for mailer with input from Lisa and Sandra at the meeting. She will send out the revised copy to all for consideration. Lisa will bring to everyone at the staff meeting this Friday for vetting.
Who will request time on Select board agenda to present concept?
ACTION: Sandra to do write up for Select Board presentation and Ang will send edited design. Lisa recommended that the write up and design be sent to Tad with request for time on select board agenda.
Brayshaw print pricing and comparison review
Sandra got pricing updated from Brayshaw, suggests paying penalty to get out of current print deal. Brayshaw per unit price is $2.48 compared to $2.92 per unit with current printer. Could think about doing a 16/8 page full color insert. Junior will be tribute for Fourth of July and Russ is tribute for Annual Report.
ACTION: Lisa to bring up to select board and Town Administrator on whether to leave the contract or not on Thursday.
Review financials
Sandra discusses ideal time to review May financials with Town Treasurer and works out schedule.
ACTION: Sandra to come on Tuesday to review May financials.
Other business
Auditors will be here June 14 & 17 to review. Financial internal review included by VLCT to be filled out by Town Treasurer. This will be delivered to the select board and auditors.
